About Miami Correctional Facility:

Miami Correctional Facility is located on the former Grissom Air Force Base, on the southeast corner of the Grissom Aeroplex, just south of Peru, Indiana, in Miami County. This facility is classified as a medium/high maximum security correction facility, housing a maximum of 3,188 offenders. At the DOC, we promote public safety by providing meaningful, effective opportunities for successful re-entry. Salary Information:

This role starts at a base salary of $25,766.

About the Job:

As the Clerical Assistant, you will provide technical support functions within a state agency and works with a high degree of independence requiring technical knowledge of agency rules, regulations, and general services.

A Day in the Life:

The essential functions of this roles are as follows:

  • Coordinates the work activities of administrative and support services such as preparing correspondence, maintaining reference and resource materials and updating files, forms and reports:
  • Prepares a variety of periodic statistical, informational and/or work activity reports;
  • Maintains complete forms, filing, processing and accuracy control system through the distribution of work activities to lower-level clerical staff, through the maintenance of special records and through on going contacts with other agencies and departments;
  • Ensures completion of appropriate application or eligibility forms for services, monitoring validity of information submitted, concurrence with regulations and inclusion of proper signatures which vary depending upon circumstances;
  • Answers questions and provides technical information to the public and to other agencies regarding special regulations or methods of solving problems;
  • Receives a variety of correspondence, eligibility forms and/or informational inquiries, prepares responses to same or determines appropriate procedures to gather information or process forms;
  • Maintains confidentiality of resource information following agency policy and legal constraints;
  • Maintains a variety of control data for which ongoing updates and tabulations are necessary;
  • Trains and coordinates work of lower-level clerical staff;

What You'll Need for Success:

  • Specialized knowledge of the procedures involved in applying policies, programs and activities of the department as well as working knowledge of other related agency programs and other departments within same agency;
  • Specialized knowledge of available records and resource material and an ability to trace required information;
  • Practical knowledge of office organization, accepted clerical procedures and management of bookkeeping or record keeping system;
  • Specialized knowledge of rules and regulations affecting the work;
  • Basic knowledge of computer procedures;
  • Ability to compose technically accurate correspondence and reports using correct grammar, spelling and punctuation;
  • Ability to work independently in solving problems, ensuring compliance with regulations, ensuring smooth work flow and generating required work as appropriate;
  • Ability to work under pressure and to practice diplomacy, tact and courtesy;
  • Ability to attend to detail and maintain accuracy and confidentiality;
  • Ability to read resource material, extract appropriate information and apply as needed.

Supervisory Responsibilities/Direct Reports:

This role may serve as a team lead for an assigned work group.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
